To help make your visits as smooth and stress-free as possible, we've detailed our practice guidelines below, along with reasons why they're important for the health, safety, and comfort of every child and family we serve.
Office Hours & Emergency Care
- Regular Office Hours: Monday – Friday, 8:00 AM – 4:30 PM for routine care and sick visits.
- After-Hours & Weekends: We understand that parenting doesn’t stop when office hours end. Our providers are available to give emergency advice and peace of mind after hours.
Appointments & Visit Guidelines
- Adult Accompaniment: For the safety and comfort of your child, a parent, legal guardian, or authorized adult must accompany them to each visit.
- Sick Visits: We recognize that illness can strike unexpectedly. Same-day sick visits are typically available when you call early in the day. Our nurses will carefully assess your child's needs and ensure timely care.
- To best serve each child, we schedule appointments in advance and do not accept walk-ins.
- To provide individualized attention to each family, please limit two children per family per well-child appointment.
Well-Child Check-Ups & Physicals
- Regular well-child visits are essential to monitor your child's development and address your concerns proactively. We recommend scheduling annual check-ups, sports, and school physicals 2–3 months ahead (March through June is ideal).
- We ask that well-child appointments are confirmed ahead of time to ensure every child gets the attention they deserve.
Our Commitment to Vaccinations
At Pediatric Associates, LLC, your child's health and safety is our highest priority. Vaccinations are an essential part of preventive care. To protect your child and others, we require all patients to follow the CDC-recommended immunization schedule. If you have questions or concerns about vaccinations, please speak with us. We welcome open conversations and will always support you with accurate, supportive information.
Appointment Changes & No-Shows
- Please notify us 24 hours in advance if you must reschedule, as we know schedules can change unexpectedly.
- Missed appointments without notice result in a $30 no-show fee. Consistently missed appointments limit our ability to care for other children who need us, and may lead to discontinuation of services.
Insurance & Check-In Procedures
- Arriving 15 minutes early allows you to comfortably update insurance and other important information, helping visits go smoothly.
- We accept most insurance plans, including Medicaid, and ask that you present your card at every visit.
- Co-pays, mandated by your insurer, are due at the time of service. Payments can be conveniently made in-person, by text, or online.
Benefits of Using Our Patient Online Portal
We highly encourage parents to use our patient online portal and our mobile app, "Healow," to enhance your healthcare experience. Benefits include:
- Convenient Access: View immunization records, health summaries, and lab results anytime.
- Easy Communication: Securely message our providers with non-urgent questions and receive timely responses.
- Appointment Management: Request to schedule an appointment, confirm, or reschedule appointments at your convenience.
- Billing & Payments: Easily access billing statements and make payments online.

Medical Records & Forms
- Immunization records are easily accessible through our patient portal.
- Completion of medical forms carries a small $10 fee per form, and transfers of medical records to new providers are provided at no cost with your authorization.

Billing Support
- For billing questions, please contact our Billing Department between 8:00 AM – 4:30 PM, Monday – Friday.
- Returned checks incur a $35 fee.
